The first thing to note is that hard drive data recovery prices are variable. It is typically not one price to do every HDD recovery because as is often the case, the first answer is really ‘it depends…’!

As you can see in the table above, your hard drive recovery cost be anywhere from $49 to $2500. However these price ranges reflect the type of recovery necessary.

A simple software fix could be quick and easy, and therefore very cheap. Often they only recover personal documents and files, not an entire operating system. What if the work required was something like the following?

• Pull damaged plates of the hard drive apart.
• Treating the hard drive plates (for example polishing out mechanical impact in such a way as to minimize further damage to magnetic field used for storing the data). This will allow the next point.
• Reading recoverable parts of your data and compiling it together.
• Correcting possibly damaged data and substituting missing data (this requires very clever software, often developed in-house).

If so, then it will take a lot more time (with a lot of investment in research and development of software to do so). So the price will be relatively high accordingly. I’m certain technically challenging hard drive recovery cost like that could far more than $2500.

You will really need to have high value data in order to make this sort of price worth while. Cases like that do exist, but let’s hope that your needs are less extensive.

Save Money Tip #3 – Check for Free shipping

NOTE: Some recovery services offer free shipping to their location from yours. In the long run, this can add to the overall cost of their service relative to a local business.

Then again, they may have higher throughput due to a larger client base over a larger area, and higher volume of work can bring the per unit cost down.

The point is if two service providers look the same and one has free shipping, why not use that service?

Hard-Drive Recovery

Hard-Drive Recovery gives a spectrum of $49 to $1500. If it is a low-end recovery, however, it may cost only $49 to $99. This is cheap data recovery. It will only charge up to $1500 if it is a high-end recovery, like a dip of the device in water. We found this service to have the lowest bottom end of price range of them all. Given the cost of a technician’s time, we guess the $49 price is for very little work to recover the hard drive.

Record Nation

Record Nation also offers a cheap service, and also has many do-it-yourself pieces of advice for hard-drive data recovery on their websites. Some of that advice includes shutting down your device to prevent additional loss, removing hard-drive from the device and connecting it to another one, or simply cleaning and reorganizing your data.

Data Recovery Now

Data Recovery Now has a comprehensive pricing list on their website, elaborating on all the charges according to the type of damage. It is easy to see that you can’t know the full repair scope in advance, and so you won’t be able to be sure of the exact data recovery cost in advance either.

With this knowledge you can certainly gauge the order of magnitude of your hard drive recovery cost. If they are near you they may be an option.

24 Hour Data

However, if you are looking for a quick recovery service that is also at a reasonable price, you could try 24 Hour Data. As the name suggests, it is available 24 hours a day, and so you can take your hard-drive to them at any time. Plus, the price is pretty much reasonable as well keeping in mind the delivery timings they claim to offer. I point out that you are paying more for fast response and turn around time.

What to look out for when assessing hard-drive data recovery services:

1. Some services charge on an hourly basis (tricky for you as you don’t know how long they will take and perhaps they only have a limited range of skill).
2. Some companies charge by the amount of the data that needs to be recovered (this is only reasonable to a certain extent, as incremental costs do not vary significantly).
3. The technician may have to look at the device to evaluate the extent of the harm to the device –and only then will they be able to tell you the actual costs. Beware of people who may tell a low price and raise it after you have sent them the drive.
4. Some companies assess the damage on their own time and at their own cost so they can be totally transparent with you as to what needs to be done to your hard drive to recover the data. (This is ideal and low risk to you the consumer of their services.)

Take Caution!

Dare I say it, the technology in these hard drives IS highly technical, and things can get complicated quickly and if you do the wrong thing, it can get messy. The recovery process may be demanding, and if you try a few things yourself and you are inexperienced, you might just create another more expensive mess such that you are better off not going through with DIY data recovery.

Depending on what your data is worth, and how you feel about how high a hard drive recovery cost could go up to, you may find it costly as well.

If you do need to use a professional hard drive recovery service, we recommend you use one that first analyses the nature of damage and then gives you a quote on a set of agreed recovery targets.

However, once you have a damaged drive and you have to get your data back, we understand that it is unavoidable and inevitable.

If you only had a few holiday photos for example, and someone else has a few of the same holiday, then you probably will not be willing to spend much on recovering a hard drive.

SAVE MONEY Tip #4 – Avoid the need for Hard Drive Recovery in Future!

I know you are going to groan, I expect it. However it is essential for me to say this serves as a reminder to spur you on to do better, so you do not have a problem like this ever again! So here goes…

If you have already had a failure and need to recover your data, then you now know about the data recovery prices. You do not want to repeat it again I am sure of that.

If you want to be happy in future and save on data recovery services costs – then do this!

If you are reading this to help a friend or client, then we strongly suggest you implement some precautionary measures of your own too.

We would suggest the following precautionary measures so that you can minimize the damage that can occur:

1. Plug the wires in properly when you DIY (and use a power filter in your power supply)
2. Avoid throwing your devices around – look after them! There are tiny parts inside soldered together that can break. Cable connectors can become loose.
3. Keep device away from water – we tend to accept technology into all parts of our lives yet forget they aren’t all designed to be near the pool or in the rain.
4. Monitor and defend device health – install malware protection and anti-viruses (an absolute must)
5. Always use the USB ‘Remove Safely’ Option (or as written in Windows 10 “Safely remove Hardware and Eject Media”) – look for the icon at the bottom right of your computer screen.
6. Keep backups! In most cases it is cheaper to buy a second drive (an external drive if necessary) and implement a routine to perform backups of your data and important files. These days it is easier than most people think.

There are many ways to implement a backup process. You could buy an external hard drive or Solid State Drive (SSD) and use software.

I’ve recommended before a hard drive docking station so you can easily connect internal drives (that are typically cheaper than an external dive with it’s own case).

That said, if you want a nice sleek new external SSD then you can buy one of these with its own USB connection. Why wouldn’t you? They are super quiet and super fast. Not to mention super cool! Just be prepared to pay more.

A final word on hard drive data recovery prices

One thing I didn’t mention in detail above, is that a reputable business will offer to assess your drive first to determine what kind of damage it has sustained. Once they have performed an initial analysis, they can discuss with you not only the cost, but also the likelihood of success. Remember that partial recovery may be possible and worthwhile. In my experience and based on my observations and research, a typical cost should be around $250 to $350 for a basic recovery.

As computer techs and engineers, we’ve seen clients, colleagues and friends lose files and rely on a good backup system. We can not stress strongly enough that it is well worth getting a backup system in place now before you lose files or data.

We have seen the heartache caused due to lost files. Learn from past losses or benefit from our advice and start a good backup process as soon as you can.

Get what you need to start a good backup process.

There are many methods of backup available to everyone now. From local network associated servers (NAS) to external drives to cloud storage options.

For the general user, I always advise a simple process. A simple local external hard drive can help keep it simple. Off site storage may save you if everything gets hit in the one location due to a local event like a fire or flood. But for the general user these are not as simple.

File History is probably the best option if you can leave your external drive connected most of the time to your PC or laptop.

File History is great because you not only back up your PC but alo because you can recovery individual files saved as a previous version. This is awesome when you want to rollback to an older version of a file you know for a specific reason.

The set up might be a little tricky so we’ll cover that as option 2, because option 1 might be the simplest option if you have no experience with Windows.

Backup to External Hard Drive

There are a couple of Options.

Option 1 – Let the drive manage it for you

Get an external hard drive of similar size to the one in your computer or laptop that does the backup properly for you. The key words to note are “does the backup for you“. Much easier than copying and pasting the files you hope are the recent ones, and avoids a lot of duplication (and saves you money so you don’t fill your external hard drive quicker than needed). I recommend the “Seagate Backup” models if you want it to do the backup management for you.

I last bought a 4 Tb drive because my digital photos and videos are quickly taking up more space than they used to!.

For computer techs (or for your clients with larger file storage demand), and to achieve large storage there are of course a lot of options.

Option 2 – Let Windows manage it for you with File History

You can get where you need to in a couple of different ways.

Type ‘settings’ into the windows search bar (bottom left for most users unless you moved it). Where it says “Type here to search” in Windows 10)

Select ‘Update & Security’.

Look down the list to find ‘Backup’ and click on it.

Or, alternatively you can type “File History” into the Windows search bar. In Windows 11 this is near the center, or left of center. It just says “Search” with a magnifying glass icon.

You will then see something like the following:

You will need an external drive (like the ones suggested in the above or below links) or somewhere else that is separate to your PC or laptop drive.

The key is it must be separate to your existing drive, and you want it available most of the time.

Recovering files using file history is really easy and I highly recommend it!

It can save you hundreds or even thousands of dollars in professional data recovery should you be unlucky and suffer a crashed drive.

Backup to External Drive Docking System

One way to advise them to go is to get a lot of extra hard drive storage and thus to buy a drive docking station and with it buy large internal hard drives to permanently dock inside – it’s a lot cheaper that way for a greater amount of memory.

With so many computers laptops and tablets being made that you can’t install more internals, this external storage is a good way to go.

NAS Systems for small workplaces and in the home

NAS (Network Attached Storage) can be a great way to go to enable everyone in your workplace or in the home to have access to all files from any device. It also enables practical and automated backups. Most NAS devices have guides for how to backup your computer specific to their systems. Check the vendor guides once you have bought your selected NAS device.

Cloud Backup Systems

There are many methods of how to backup your computer to the cloud. Advantages include that the backup is stored off-site. Professional Cloud based storage solutions often have their own high integrity backup systems, saving you all the trouble.

Backing up files this way has never been easier. In addition, it can give you access to your files from any internet connected device. This is the main reason why some prefer to go this way despite the ongoing costs. The nice thing about the ongoing costs though is you typically can only pay in proportion to the amount of storage you need.

Better still, many services offer free storage for the first amount of storage. This allows to to trial their system, find out if it suits your needs. Short term they can be cheaper than investment in your own hardware.

The first step is to select and get your chosen hardware or cloud service.

Introduction to How to Backup Your Hard Drive

As you are already reading this, I’m probably preaching to the converted, but you must back up your computer! Most clients I talk to who don’t have a data backup system do not because they think it is complicated or too hard. Really they just don’t know how. Follow the steps below to make sure you set it up correctly and take advantage of hidden features. You’ll find it is in fact pretty easy, and it is FREE!

Step 1: Locate and Download Free Comodo Backup Software

To me, the best backup software is from Comodo when used how I describe below. Use this link to go direct to Comodo.com’s backup software location (it’s actually hard to find through their menu system otherwise) and download Comodo’s free backup software. Their site talks a lot about online backup and refers to their software as an online backup software (ie. cloud backup software), but if you check the advanced details you will see that you can use it to back up to anywhere (see more below). The online backup functionality is a great option to consider. (Note you can backup online a limited amount for free, with a limited amount of free storage, so it is probably similar to many cloud backup services.)

With Comodo Backup for free

Comodo Backup supports the following Windows Backup:

• Windows 7 backup – 32 bit and 64 bit
• Windows Vista backup – 32 bit and 64 bit
• Windows XP SP2 backup – 32 bit and 64 bit

I trust a Windows 10 backup version is not too far away.

And it supports the following Windows Server Backup:

• Windows Server 2008 backup – 32 bit and 64 bit
• Window Server 2003 backup– 32 bit and 64 bit

So you can see it is quite a broad Windows backup software.

Step 2: Install the Backup Software (Comodo backup) and Restart

Run the installation wizard and follow the steps. Once you are finished you will be prompted to restart your computer. Naturally you’ll want to first save and close any other running applications and files. (I suggest you save this web page as a favorite/bookmark it so it is easy to return to so you can continue to follow these steps.)

Step 3: Launch and Activate the Computer Backup Software

After you restart your computer, open the Comodo Launch Pad. Click the “Show Application Window…” button. The first time you do this, you will be prompted to activate Comodo. You can activate Comodo backup by using the activation code that was emailed to you. Activation is free and lasts a lifetime.

Step 4: Select ‘Backup’ to Set up your New Computer Backup

In the Application Window, click the “Backup” menu and select “New Backup…”

Step 5: Set up your Hard Drive Backup As Shown

Under the “Source” tab, choose the files that you wish to backup by clicking “Add Item”. You will notice that there is an option to “Add My Documents” and “Add Outlook Inbox”. This allows you to add these two items quickly without having to hunt them down.

Step 6: Define Your Computer Backup Destination Drive

It is great to back up your hard drive, but of course you need somewhere to back it up to. Click the “Destination” tab and choose where you would like to backup your data. Comodo allows you to backup not only to your local drive, network drive or removable drive, but also to an FTP server or a CD-RW and DVD-RW drive.

External drives are great, but make sure you consider the storage capacity you need. One great way to get a significant extra hard drive storage locally (especially at home or if you’re not always connected to a network) is to buy a hard drive docking station (and the one in the link can take two up to 8 TB hard drives – that’s huge!). So with it buy large internal hard drives (or any size you choose; both those links will open in a new tab) to permanently sit inside the new dock – it’s a lot cheaper this way to arrange a huge extra amount of storage. Suggest you buy more than you think you will need as use only gets more demanding with time. If you’re really serious you could buy and set up a full NAS system.

If you’re ol’ school you probably want to set up a partition and do the backup from one drive to another. These days’ I vote ‘no’ to this method. I could say something about ‘eggs in one basket’ but I don’t wish to patronize you. Suggest you get a separate backup hard drive or backup SSD and install it inside the machine as a second internal drive, in a NAS system or use the docking station proposed above.

Step 7: Select Comodo Backup Options (Incremental or Full Drive)

To select Comodo backup Options click the “Options” tab and choose either incremental backup or full backup. The incremental backup only backups files that have changed since your last backup. This makes the backup process a lot quicker, especially if you have a lot of files. Choose any other options you would like as well.

Step 8: (Optional) Set ‘Compression Backup’ for Your Computer’s Hard Drive Backup If Required

Click the “Compression” tab if you would like to setup compression as part of the Comodo backup service. This helps if you have a limited amount of space. If you are not limited to a certain amount of space then you don’t have to set up compression.

Step 9: Set up (or edit) Comodo Backup Schedule

Click the “Schedule” tab to setup your backup schedules. Set your backup to run at a time when you are not using the computer. As you may anticipate, during the backup of your hard drive it will consume resources on your computer, and you may not like to experience that while working. After hours especially very early in the morning (avoiding midnight and times of other automated systems) works well for me.

Similarly use the tab shown above to view and edit an existing Comodo backup schedule.

Step 10: Set Up Email Notification of Your Successful Computer Backup

Click the “E-Mail Notify” tab to set Comodo up to notify you via e-mail with your backup results. This is great if you have Comodo backups running on another computer that you do not physically touch on a daily basis. ‘Just what the doctor ordered’ for tracking successful back up on clients computers. You can use these email notifications in reports to demonstrate diligent care and management for your clients. If it is just for yourself you can just check it occasionally or note that you’ve received it in your inbox when expected. Brilliant and instant peace of mind!

Step 11: Define an Identifier for each Computer Backup

Type your “Backup Name” at the top and click OK to save your settings. You can now close the Comodo Launch Pad. The Comodo Backup service runs in the background and automatically starts when you turn your computer on. You can also see its status by putting your mouse over the Comodo Launch Pad icon in your system tray.

Your files are now safely in the hands of Comodo Backup free software.

TIP: Run a test to backup files. Keep an eye on it the first day it runs an auto backup to make sure it is backing up properly. Be sure to check it on a regular basis as well.
